As an IT company, we manage thousands of passwords for our customers. We documented these in a structured way in our CRM system, but we didn’t really have good tooling to optimise this process. Due to the growth of our company, and the related growth in the number of passwords, we had increasing difficulty keeping track of passwords properly and retrieving them quickly when we needed them.

We didn’t know which employee had viewed which passwords. That is why, during staff changes, we preventively changed all passwords known to us for all our customers, a job that by then took several days of work.

Of course we had our central documentation, but each employee also used their own password tooling that they personally preferred, such as the password functions of Google or Apple. This led to decentralised storage of passwords, meaning everyone had to keep track of supplier passwords individually. It was somewhat workable, but took a lot of extra time. If an employee changed a password, it had to be updated individually for everyone else. In addition, we could not set rights on which employees were allowed to view which passwords. Passwords for, for example, payroll administration could not be kept in the central documentation, because we obviously don’t want payroll administration to be open to all employees.

Using a password manager for businesses saves us a lot of time. We automatically generate impossible-to-remember passwords and use them to log in automatically to websites and applications. When an employee leaves, based on a report we only need to change the passwords that the employee had viewed. We can also give certain employees access to passwords of certain customers or password groups. With the app, we have easy access to our passwords everywhere. Within a few seconds of creating or changing a login, all employees who have access to that password have the new details.
